At ENA Resource Management I am asked to work with multiple customers. We never run short handed but there is always too much to do. Organization is key to staying sane and getting the job done. I want to share with you a method I have come up with over 21 years of consulting. My organizational system is tailored to how I work so you may have to make adjustments for your system. The best way to explain is to walk through a typical day...
First thing in the morning I look at my task list. I always keep a list of tasks. I start by deleting the completed work from the day before. You should always keep completed tasks on the list during the day. It helps that awful feeling that you have not accomplished anything today. That feeling of helplessness is caused by us over achievers forgetting the things we did or minimizing them in our mind.
I then decide which tasks I will work on today. It is important to do this part first thing so that higher priority items are completed and not just the fun or easy tasks. People tend to be more objective first thing in the morning.
As I work during the day I add tasks that present themselves, and keep a programmers notebook. Taking notes helps my memory and gives me the ability to quickly go from one project to another if I need to shift gears. (I use a fantastic open source product called EverNote. It stores my notes, web clippings, and anything else I need) I always have my task list up on my computer so I can reference it often during the day to make adjustments and see how it is going.
I find that a calendar program is essential. I use it as an adjunct to my task list to place tasks into real time. Deadlines, meetings and upcoming events often force adjustments to my task list priorities.
Finally the day is over and I review my calendar and task list together. This gives me a feeling of how much, or little, I accomplished during the day.
Keeping notes, a task list and a calendar really helps lower the anxiety level and keeps you on an even keel. You won't forget important items or those small items that accumulate so quickly. You learn how much you can get done in a day so you can manage your workload and make reasonable schedules.
